What this policy covers

This policy explains what personal information we collect when you use www.experteasetraining.co.uk or enquire about our services, how we use it, who we share it with, and what rights you have. It does not cover third-party websites we link to, which have their own policies.

Information we collect

Information you give us

• Enquiry details you send us through the contact form on this site (which composes a message in your own email app) or directly by email: your name, organisation, work email address, telephone number if you choose to provide one, and the description of your challenge or goal.
• Correspondence you send us by email or telephone, and notes from consultations and discovery calls.
• Information needed to design and deliver a programme, such as participant names, roles and cohort details supplied by a client organisation.

Information collected automatically

• Standard server and hosting logs, which may include your IP address, browser type, the pages you visited and the date and time of your visit. These help us keep the site secure and available.
• This website does not use cookies, analytics or advertising trackers. See our Cookie Policy for detail.

How we use your information, and our lawful basis

• To respond to your enquiry: on the basis of the consent you give when you submit the contact form, and our legitimate interest in replying to people who contact us.
• To prepare proposals and quotations: on the basis of steps taken at your request before entering into a contract.
• To design, deliver and evaluate development programmes, including psychometric tools and pre- and post-programme evaluation where these form part of an agreed programme: on the basis of our contract with the client organisation.
• To administer our business, keep records and meet our legal, accounting and insurance obligations: on the basis of our legitimate interests and our legal obligations.

We do not sell your personal information, and we do not make decisions about you solely by automated means. Where a programme includes a psychometric tool such as MBTI or DiSC, the results are used only as described in the next section.

Assessment and psychometric information

Where a programme includes MBTI tools, DiSC profiling or a similar instrument, results are used to support the participant’s own reflection and development. They are not used to diagnose, label, screen or clinically assess anyone. Individual results are not shared with a client organisation without the participant knowing; reporting back to a commissioning organisation is normally aggregated or anonymised.

Health and other special category information

This website and its contact form do not ask for health or other special category information. If you tell us about a health condition, disability or adjustment so that you or a participant can take part in a session, we use that information only to arrange the adjustment, share it only with the practitioner who needs it, and keep it only for as long as the programme requires. We rely on your explicit consent for this, or, for participants, on the arrangements agreed with the commissioning organisation.

Who we share information with

• Service providers who support our business, such as website hosting, email and document storage, acting on our instructions.
• Specialist practitioners and facilitators engaged to deliver an agreed programme, limited to what they need in order to deliver it.
• Assessment providers, where a psychometric instrument forms part of an agreed programme.
• Professional advisers, and regulators or law-enforcement bodies where we are legally required to share information.

Every file needed to display this website is served from our own web address. No third-party fonts, scripts, embedded content or analytics are loaded, so no other provider receives your IP address when a page loads. The website itself is hosted for us on Google Cloud, which processes the standard request data described above on our behalf as a service provider.

International transfers

Some of our suppliers may process information outside the UK. Where they do, we rely on appropriate safeguards, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum.

How long we keep information

We keep personal information only for as long as we need it. Enquiry records are kept while we are in contact with you and for a reasonable period afterwards in case you get back in touch. Where an enquiry does not proceed, we normally delete the record after 12 months of inactivity, and in any case within a maximum retention period of 24 months. Client and programme records are kept for the duration of the engagement and then for as long as we need them for legal, accounting and insurance purposes, normally six years. Website server logs are kept by our hosting provider for up to 30 days.

Your rights

• Ask for a copy of the personal information we hold about you.
• Ask us to correct information that is inaccurate or incomplete.
• Ask us to delete information, or to restrict how we use it.
• Object to processing we carry out on the basis of our legitimate interests.
• Ask us to transfer information to you or to another provider in a portable format.
• Withdraw your consent at any time where we rely on consent. This does not affect anything we did before you withdrew it.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113, though we would appreciate the chance to resolve your concern first. We are registered with the Information Commissioner’s Office under registration number ZB907793.

Keeping information secure

We use appropriate technical and organisational measures to protect personal information, including access controls and encrypted connections. No transmission over the internet can be guaranteed completely secure, so please do not send us sensitive information by email.

Participants under 18

Where we deliver to sixth forms, schools or youth programmes, we work through the commissioning organisation, which is responsible for obtaining any consents required for participants under 18.

Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last changed.
